OBJECTIVE:

 

Avocor’s Senior Sales Ops Coordinator must be a proactive team-player who is detail-oriented and acts with a sense of urgency. We are looking for a solid background in sales operations, logistics and customer service. This key role must effectively bring the functional efforts of Sales, Operations and Marketing into proper coordination. This role reports to the VP of Global Operations.

PRIMARY RESPONSIBILITIES:

 

• Review Sales Order accuracy and coordinate order fulfillment with internal and external 3PL warehouses
• Ensure accurate and timely inventory reporting
• Manage Returns through the RMA Process
• Use Salesforce CRM in daily Sales Ops activities ensuring accuracy of information and best practices
• Initiate process improvements to improve operational efficiency and cost-effectiveness
• Generate deliveries for both domestic and international open orders. Maintains, reviews, tracks and troubleshoots status of all deliveries in system. Demonstrates proficiency in maintenance of deliveries and transfer orders (i.e., reversing, splitting, and canceling).
• Implement and execute specific customer routing guidelines and requirements
• Facilitate new account & new supplier setup/onboarding with internal sales team and retailers
• Primary point of contact for Finance when resolving inventory and customer sales order issues
• Coordinate presentation and distribution of product and PR samples
• Manage output of timely international transportation documents and provide support as needed
• Coordinate inventory needed for outside warehouses while maximizing container space
• Manage the non-sale transportation (demo, promo, events, etc.) and shipping supplies stocked in the in-house warehousing space
• Assist new corporate customers with sales process Integration (EDI, webstore interface, WMS, etc.)
• Interface with internal and external departments as needed to support customer accounts and resolve issues promptly and accurately
• Manage relationships with key operations suppliers/vendors
• Track supplier/vendor pricing, rebates, and service levels
• Work closely with GM and management team to set and implement policies, procedures, and systems
• Contribute operations information and recommendations to strategic plans and reviews
• Provide other cross-functional support as needed

QUALIFICATIONS:

 

• Four-year college degree or equivalent work experience
• 4+ years of operation management experience, including sales ops and logistics coordination
• Solid understanding of order management processes and knowledge of warehouse operations and logistics
• Some experience with coordination of trade show logistics is highly desirable
• Strong organizational skills and ability to work independently, yet able to work collaboratively and understands the greater benefits of a team environment
• Ability to work under and consistently meet deadlines while adjusting priorities as needed
• Exceptional problem solving and organizational skills with attention to details
• Excellent communicator, both written and verbal with a commitment to great customer service
• Self-starter with the willingness and ability to work with a broad range of personalities within an entrepreneurial work culture
• Good knowledge of Microsoft Excel, Word, Outlook, and PowerPoint is necessary.
• Experience with QuickBooks, Salesforce and common ERP systems is preferred.
